Summary:
The Find Duplicates feature in EndNote scans your library to detect and manage duplicate references - a common issue when importing from multiple databases, PDFs, or collaborative projects. Removing duplicates keeps your library clean, improves citation accuracy, and ensures consistent results in Smart Groups and shared libraries.
Benefits of finding duplicates in EndNote
1. Improved accuracy
- Prevents citing the same source twice under different entries.
2. Cleaner libraries
- Reduces clutter and confusion by eliminating redundant records.
3. Reliable smart groups
- Ensures duplicate entries don’t skew Smart Group results.
4. Better collaboration
- Maintains consistency in shared libraries by keeping only one copy of each reference.
How to use Find Duplicates in EndNote
Step 1 – Open your library
- Launch EndNote and open the library you want to clean.
- Tip: Back up your library before making deletions, especially for large projects.
Step 2 – Run Find Duplicates
- Go to Library > Find Duplicates.
- EndNote scans your library and displays possible duplicate pairs.
Step 3 – Compare and decide
- A side-by-side comparison window will appear.
- Review fields such as Title, Author, Journal, Volume, Pages, DOI, etc.
- Choose the record to keep — usually the one with the most complete metadata.
Or choose criteria for automatically removing duplicates for you.
Step 4 – Remove remaining duplicates (optional)
- After checking a few manually, you can bulk-remove the rest:
- Select the criteria for the primary reference.
- Click Keep Remaining References.
Step 5 – Review and empty trash
- When satisfied, go to Trash > Empty Trash to permanently delete.
- If needed, restore mistakenly deleted references before emptying.
Best practices for duplicate management
- Regularly run Find Duplicates after large imports.
- Keep one master copy with the most complete and accurate fields.
- Check DOIs — they’re the most reliable field for identifying duplicates.
- Use Groups to store duplicates, temporarily for safety before deletion.
